Triple Vitality (Chamber of Commerce no. 66931312) handles your personal data with care and complies with the General Data Protection Regulation (GDPR). Below you can read which data we process and why.
Who are we?
Triple Vitality
Email: info@triplevitality.nl
Phone: +31 (0)6 25 45 88 55
Chamber of Commerce no.: 66931312
Which data do we process?
- Quote form: name, job title, company name, email address, phone number, number of employees and whatever you fill in about your challenge.
- Booking an intro call: if you book an appointment via Calendly, Calendly processes your name, email address and the time you chose.
- Requesting the free guide: your first name, last name (if you fill it in), email address and whether or not you'd like to receive tips from us.
- Short questionnaire after the guide (voluntary): the number of employees, your role, your biggest challenge, whether you have a wellbeing programme, when you'd like to take action, whether you're open to a conversation and (if you fill it in) the company name.
- UNLOCK form: name, organisation, who you are (e.g. a school or a coach), email address, phone number and your message.
- Gymwear waitlist: your first name, email address and whether you'd like an email when the first drop goes live.
- Online personal training intake: your name, age, gender, email address, phone number and town; your goals, height, weight and target weight; how active you are; your eating and lifestyle habits (such as what you eat, dietary preferences, allergies, smoking and alcohol); practical matters such as your available time and equipment; and health data such as injuries, complaints, medical conditions, energy and sleep. You can read more about this below under “Online personal training intake”.
- Language: whether you filled in a form on the Dutch or the English site, so we can email you in the right language.
- Email and phone: the details you share with us yourself.
What do we use it for?
Only to get in touch with you, prepare a quote and prepare the meeting. The legal basis is your own request (performing a contract or the steps leading up to it) and our legitimate interest in answering your question. We won't send you newsletters or advertising without your consent.
Free guide, tips and waitlist by email
- The guide: if you request the guide, we use your name and email address to send it to you. The legal basis is your own request.
- Tips on wellbeing at work: only if you tick the box yourself will we occasionally send you tips by email. The legal basis is your consent. If you don't tick the box, you'll only receive the guide.
- Questionnaire: we store your answers with your details, so the tips suit you better (only if you consented to tips) and so we can help you if you indicate you're open to a conversation. The questionnaire is voluntary; you can skip it.
- Gymwear waitlist: if you join the waitlist, we store your first name and email address. Only if you tick the box will we send you a confirmation and an email as soon as the first drop goes live. The legal basis is your consent. Without the tick, we won't send you anything.
- Booking buttons in our emails: these contain a personal code (without your email address). If you book a call via one of these buttons, we know we don't need to send you any further emails from the series.
- Unsubscribing: at the bottom of every email there's a link to unsubscribe with one click. You can also send an email to info@triplevitality.nl. You can withdraw your consent at any time, free of charge.
- Preventing spam: to prevent abuse of the form, the website briefly looks at your IP address (how often requests come from that address). That IP address isn't stored and is forgotten after fifteen minutes at most.
Online personal training intake (health data)
- Why: only to create training and nutrition advice that is safe and suits you, and to contact you about your programme.
- Legal basis: health data is a special category of personal data. We only use it with your explicit consent, which you give by ticking the box before sending. That box is unticked by default. Without the tick you can't send the intake and we store nothing.
- Storage: your intake is stored encrypted straight away at Netlify (our hosting provider). Only Triple Vitality has the key. We move the intake to our own secure records as soon as possible and then delete it from the website. An intake that hasn't been collected after 30 days is deleted automatically.
- Email: we only receive a short notification that there's a new intake, with your first name, your main goal and the package you're interested in. Your health data is never included in an email.
- How long: if you don't become a client, we delete your intake no later than 1 year after you filled it in. If you do become a client, we keep it for as long as your programme runs and for no more than 1 year after that.
- Withdrawing and deleting: you can withdraw your consent at any time and ask to see, correct or delete your intake. Email info@triplevitality.nl; we'll then delete your data within a month. Withdrawing applies from that moment on, not to what we already did with your consent before then.
- While filling it in: your answers are only remembered in your own browser tab, so you don't lose anything if you refresh the page. They disappear once you send the intake or close the tab.
How long do we keep it?
If we don't end up working together, we delete your data within 12 months. If we do work together, we keep data for as long as needed for the assignment and the statutory retention period (such as 7 years for the accounts).
If you requested the free guide without consenting to tips, we delete your data within 12 months. If you did give consent, we keep your data until you unsubscribe. Gymwear waitlist data is kept until the first drop goes live and for no longer than 12 months, or until you unsubscribe.
Separate retention periods apply to the online personal training intake; you'll find them above under “Online personal training intake”.
Who do we share it with?
We never sell your data. We use these services, which process data on our behalf:
- Netlify: hosting the website, processing submitted forms and the encrypted storage of intakes (until we collect them, 30 days at most).
- Resend: forwarding submitted forms to our mailbox. For the intake, this is only a short notification without any health data.
- MailerLite (MailerLite UAB, based in the EU): storing requests for the free guide and answers to the questionnaire, sending the guide and, if you consent, the tips by email. The Gymwear waitlist is also kept in MailerLite.
- Calendly: scheduling appointments.
- Google (Gmail/Workspace): email.
Some of these services are based in the United States. They use safeguards approved by the European Commission, such as the EU-US Data Privacy Framework or standard contractual clauses.
Cookies and statistics
This website doesn't place tracking or advertising cookies and doesn't track individual visitors. That's why no cookie banner is needed. MailerLite emails may record whether an email was opened or a link was clicked; we switch this off as much as possible. Calendly may place its own cookies as soon as you open its scheduling page, including when that calendar is embedded on our site (after the questionnaire, if you indicate you'd like a call). The questionnaire only remembers which email address your answers belong to in your own browser tab; that disappears when you close the tab.
Your rights
You can always ask which data we hold about you, and have it corrected or deleted. You can also object to its use. To do so, send an email to info@triplevitality.nl; we'll respond within a month. Not happy with how we handle your data? Then you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Security
The website uses a secure connection (https). Only Triple Vitality has access to the submitted forms. Intakes are also stored encrypted.
